New Jersey CMENC Executive Board Meeting
August 22nd, 2009

Meeting called to order at 1:15 PM
1. Old Business
1. E-Board Emails
1. Everyone responded to Max’s CMENC email questions
2. We are still waiting on Chris Bleeke to send Max the information to update the website/CMENC email addresses
3. The CMENC emails are NOT set up yet
2. Bank Account
1. The names on the account are now David, Jason, and Patrick
2. We currently have $208.53 in our account
1. This matches Patrick’s records
3. Fundraising
1. Coin Wars: Should we keep it running?
1. People want to know what the money is going towards. (It goes to general state operations, such as the picnic)
2. Overall, people feel it is not effective
3. Common concern: Why should I give to the state when my own chapter needs the money?
4. Dr. Connors feels we can do away with this fundraiser
2. We have a budget from NJMEA!
1. A few years ago, we received $1500 for running the Collegiate Conference
2. We do need money in our regular account though, because sometimes we need money faster then can be acquired through NJMEA
1. Our goal is to have $500-$600 in our account at all times
2. Money should be provided for the picnic first and then the Collegiate Conference
3. Other information
1. Rowan MENC works under their SGA, which covers all expenses
1. Rutgers is considering this as well
2. Dr. Connors will speak to all faculty representatives
1. Should each chapter charge dues?
1. Montclair does this already, charging $15 for the year, but paying for the Collegiate Luncheon for any member in good standing who attends Convention in February
3. Music in Our Schools Month
1. There was no collective activity last year
2. Background from Dr. Connors
1. All chapters are supposed to participate together as a collective NJ organization
2. Students came to campuses for a free lesson
1. We should have designed a handout to make music more accessible
3. Dr. Connors would like to encourage faculty from other schools o be involved
1. We need to make sure that we have active responses from people
4. Suggestions/Brainstorming
1. Send small ensembles out to non-Tri-M schools
1. Dr. Connors feels this could be impractical
2. Instrument show and tell and/or mini-performances
1. This would work especially well with student teachers who already have a foot in the door at a school
3. Elementary schools (K-6) should be our target
4. Create a master list of teachers who would be interested in having collegiate students come into their programs for a day
5. Give a free concert with all schools represented
1. Three different dates (one concert in North Jersey, one in Central Jersey, and one in South Jersey)
6. Colleges close to each other should link up to give presentations, such as “instrument petting zoos/show and tell”
7. Dr. Connors is willing to inquire with NJMEA about getting a list of local teachers
8. Getting the ball rolling
1. The E-Board creates an overall letter that will go out to schools
1. We will make contact with teachers in October and have the events formalized by December
2. Steps
1. Dr. Connors compiles a contact list from NJMEA
2. Max will be drafting the letter, which must have dates
3. Senators will take the letter to their chapters, the Presidents and Secretaries will approve it and send it out to local schools by a certain date and then respond back to us
4. Generate enthusiasm within the chapters for the events early!
3. We need to meet with the Senators (possibly at the picnic) to toss around ideas about this proposal
4. We need to wait until all Senators are official before sending them information

1. Buy 6-8 seats (good for as many concerts as you want in a season) and offer them to the collegiate membership

1. Create 1 large calendar for every school to post concerts and events on
1. Montclair already uses one for chapter functions
5. Collegiate Internship – Mike Saias
1. The internship program has internships in the following areas
1. All-State (ensembles, festivals, convention (February and summer workshop), productions (Joe Cantaffa))
2. Region (ensembles, festivals)

6. Completion of the program will five a letter of commendation from NJMEA, a listing in TEMPO magazine, and a letter of recommendation for each intern
